This portal is operated by Davis Investigation Services ("Davis", "we") to run applicant background screening requested by employers and organizations ("companies"). If you received a link to fill out an application here, a company asked Davis to screen you and this policy describes how your information is handled.
From applicants: the information you enter on your application — name, date of birth, contact details, address, Social Security number, position applied for — plus the authorizations you sign, your signature, and any documents you upload (such as a license or diploma).
From portal users: name, work email, phone, and sign-in credentials.
Automatically: a security audit trail records who accessed what and when, including IP address and browser type. Public forms use Cloudflare Turnstile to block automated abuse.
Solely to perform the background screening you authorized. Before you submit anything, you review and sign the legal authorizations that govern it — including your consent to consumer reports under the Fair Credit Reporting Act (FCRA), a HIPAA release where applicable, electronic-signature consent (ESIGN/UETA), and a data-retention acknowledgment. We do not use your information for advertising, and we never sell it.
Everything travels over encrypted connections (HTTPS) and is stored encrypted. Social Security numbers get an extra layer: they are envelope-encrypted before storage, so the database itself never holds a readable SSN, and staff screens show only the last four digits. Access is limited by role and enforced inside the database itself; staff sign-ins require two-factor authentication; every access to your records is written to an append-only audit trail.
Documents and reports are never sent as email attachments. Emails from the portal carry a secure link and, at most, a first name and last initial — never a Social Security number, date of birth, screening status, or report content. Anything sensitive stays inside the portal, behind expiring, audited access.
Two parties: Davis Investigation Services staff, and the company that requested your screening (limited to its authorized users). Where a finished report is shared onward — for example with a court — it travels as an expiring, revocable secure link, with every access logged.
The portal runs on Amazon Web Services under a business associate agreement; AWS stores data but does not use it. Our email provider delivers the portal's link-only emails. We do not sell, rent, or trade your information with anyone.
The portal uses only essential cookies: a session cookie that keeps signed-in users signed in, and Cloudflare Turnstile's bot-protection on public forms. There are no advertising or cross-site tracking cookies, and no third-party analytics.
Applicant records are kept only for the retention period that applies to your screening. Deletion is automatic and enforced daily: when a record's retention date passes, personal information is destroyed — including the encrypted SSN, documents, and signatures — and the deletion itself is recorded in the audit trail.

If our practices change, this page changes with them, with a new effective date at the top.
